What You Will Be Working On:

  • Assist with overflow of work for Executive Assistant and perform administrative back up support as needed for Executive Assistant, supporting local senior leadership
  • Ability to communicate effectively and concisely using a variety of styles and techniques appropriate to the audience
  • Work independently; anticipating and adapting to changing requirements and priorities; and managing multiple tasks with minimal guidance
  • Arrange and reserve conference rooms, catering, audio/video and other essential services as needed for meetings and conferences
  • Participate productively as a contributing member in a team environment
  • Coordinate travel arrangements and create expense reports in a timely manner using Concur
  • Prepare professional business communication documents including memos, letters, PowerPoint, Excel documents, and emails
  • Act as backup while Executive Assistant is on vacation or out on business travel
  • Build and maintain good business relationships with executives and employees at Corporate HQ

 

What You Will Need to Be Successful in This Role:  
 

  • 6+ years’ experience in administrative roles, 2+ years supporting C-Suite level executives
  • High School Diploma or GED equivalent. Completed College Diploma in Office Administration (or relevant study) considered an asset but not required.
  • Excellent time management and interpersonal communication skills
  • Experience booking travel in Concur or other travel management tool
  • Experienced with MS Excel and MS PowerPoint, occasional meeting preparation will require proficiency with these software suites
  • Proficient in the use of Microsoft Office and standard computer applications
  • Proactive and ability to complete task with minimal supervision
  • Ability to work overtime if needed during meetings
  • Knowledge of proper English usage; spelling; grammar; punctuation and sentence structure to ensure that written materials prepared and reviewed are complete; succinct; and formatted correctly
