Executive Administrative Assistant - Bethesda, MD

We are currently seeking an Executive Assistant at our General Counsel’s Office in Bethesda, MD. This position will primarily support the Executive Vice President and General Counsel. The role is ideal for a highly organized, flexible and motivated individual used to working on their own initiative and under pressure. The successful candidate will need to exercise diplomacy and confidentiality, with excellent interpersonal and teamwork skills. This position will report to the General Counsel.


  • Prepare executive level correspondence and presentations with minimal direction
  • Filing and retrieving corporate records, documents, and reports
  • Maintain minute books and prepare materials for the Board of Directors
  • Deliver contracts and collect executed copies
  • Design, create, proofread and update Microsoft PPT presentations, Excel spreadsheets and Word documents
  • Manage meeting and conference call scheduling in Outlook
  • Coordinate travel arrangements through Concur
  • Complete and submit expense reports accurately and timely
  • Manage day-to-day operational and administrative duties as assigned
  • Administer general office manager and facilities duties as required

The ideal candidate will have:

  • Three or more years of corporate executive administrative experience
  • Previous experience supporting C-level executives and Board Members with a preference for individuals who have supported C-level executives at a publicly traded company
  • Demonstrated success in working in a demanding, high performance work environment 
  • Solid customer service skills and the ability to communicate with all levels of the organization
  • Professional demeanor and strong attention to detail
  • Excellent verbal and written communication skills
  • Demonstrated level of proficiency in Microsoft Outlook, Diligent BoardBooks, Venue Data Rooms, Word, Excel, and PowerPoint, including the ability to utilize raw data and generalized concept to format charts, graphs, presentations
  • Ability to be highly organized, detail-oriented, flexible and able to multi-task
